Announcing an internal meeting, especially when attendees must travel across a country or borders, tends to get one of two reactions. Either, ‘Oh good, something new to learn.’ Or, ‘Oh no, another intrusion into my busy workload.’

Either way, your communication objectives are unlikely to be met without some consideration of the emotions of those attending. Boring is your enemy.

How many times have you sat in a 3-day meeting listening to presentation after presentation, the most exciting part of which is the coffee break?

Well, now you can do something about it.

Objective:

To make the meeting interesting, entertaining, as well as informative, and whatever you do, don’t let the energy drop!

Let’s use this as an example

A humorous way to tell others about yourself.

Works best if you have more than 10 attendees from different offices or locations who don’t normally have face-to-face interactions. But any more than 20 people and it will most likely take too long. So be aware of this.

At the very start of the meeting, it’s time for introductions. Instead of going around the room asking people to stand up and introduce themselves. Try the Elevator Speech.

Give everyone 2 mins to think about what they might say. But as they are thinking, start with your Elevator Speech. Make it funny, after all, you have plenty of time to get a good story ready.

People usually respond in good humour and there is always one comedian in the room!

Having completed the room everyone will know each other, and you will have established a humorous tone for the rest of the meeting.

The Elevator Speech

Ask attendees to imagine they are in an elevator on the 28th floor of a hotel. They are going down to the ground floor for dinner. They press the button for ‘ground’. The elevator stops at the 27th floor and in walks… [insert name of the person of your dreams e.g. Angelina Jolie, George Clooney, etc.]. 

Now, you have from the 27th floor down to the ground (about 30 seconds) to tell [dream person] who you are, where you work and what you do. And make it so exciting that [dream person] wants to ditch their plans and come to dinner with you.
